WorkFlowy – Note Organization With Infinite Lists
WorkFlowy is a free, cross-platform application for organizing notes, tasks, projects, and ideas using infinitely nested lists. It is available for Windows, macOS, Linux, Android, iOS, and as a web service.

The main feature that sets WorkFlowy apart from other applications with a similar purpose is that content is not organized using folders and files. Instead, everything functions as a single infinite hierarchical list. In other words, WorkFlowy uses an outliner approach, where every note, idea, or project is an item in a list that can contain sub-items with no limitation on depth.
The application is focused on content, which exists entirely within a single document. Entire branches within the hierarchy can be copied, moved, and archived. Keyboard shortcuts and drag-and-drop functionality are supported. Selected sections can be published as public lists and shared. Synchronization is automatic, and in case of an internet connection loss, all changes are saved and synced once the connection is restored. A wide range of templates is available for faster work on different tasks.
The mirroring feature is particularly interesting, as it allows the same item to appear in multiple places within the hierarchy as a reference. This enables the creation of more complex data structures without duplicating content. Data can be exported to PDF, Markdown, and OPML formats.
WorkFlowy in practice
WorkFlowy is considered one of the most respected minimalist applications and has a large user community. Its main advantage is extreme simplicity; no learning curve is required to get started. Data entry is very fast, and complex lists can be created with ease.
Before deciding to use WorkFlowy, it is worth taking a look at applications with a similar purpose, such as Notion, Notesnook, Zim, QOwnNotes, Trilium Notes, SiYuan, and Mem. In addition, you should consider some of the limitations the application comes with:
- no support for images, charts, tables, or multimedia
- no integration with external services such as Google Drive, Notion, or Zapier
- purely hierarchical lists may not suit all users or all data structures
- there is no self-hosted version, and the source code is closed
- the free version is limited to 250 entries per month
