Paperless-ngx – A Tool for Document Digitization and Management

Paperless-ngx is a free, open-source tool for document digitization and management. While it is primarily a Linux program, it also works on Windows and macOS via Docker. It can also be installed on NAS devices, ARM platforms, and cloud services.

Features of Paperless-ngx

The goal of this program is to provide users with a centralized and efficient way to manage documents. Its user interface is intuitive and straightforward. Upon startup, the dashboard immediately displays all available documents.

Paperless-ngx offers advanced features for scanning, searching, and sorting documents. Arguably its most important feature is the automatic document processing capability. The program recognizes document content using OCR, whether they are PDF files or scanned documents.

It then organizes them into categories predefined by the user and automatically indexes them. Tags can be assigned to documents, enabling searches by keywords, dates, tags, and even the content of the documents themselves. Thanks to indexing and tags, finding the desired file is quick and easy, even in large collections.

Paperless-ngx can independently determine the category of a document and assign relevant tags using machine learning algorithms. Many formats are supported, including popular ones like PDF, JPEG, PNG, TIFF, Word, Excel, and PowerPoint, as well as their LibreOffice equivalents. Paperless-ngx integrates with email servers, allowing automatic handling of documents received as email attachments.

The program recognizes over 100 languages. Documents are stored in PDF format. Paperless-ngx is optimized for multi-core processors. All documents are stored locally, and access to the application can be protected with a password. For multi-user environments, access permissions are managed centrally.

Applications of Paperless-ngx

Paperless-ngx is a fork of the older Paperless program. This means it is a new, standalone version of an existing software project. As a result, the program offers more features and better support. Being open-source, users with programming knowledge can customize it to suit their needs.

The installation process can be somewhat challenging for inexperienced users. The simplest approach is via the Docker platform, as it simplifies dependency management and updates. Detailed installation instructions are provided in the documentation, which you can find HERE.

Paperless-ngx is designed for users who want to reduce paper usage and efficiently organize their documents for quick access. It can be easily used by individuals with minimal technical knowledge. Storing documents on local drives rather than cloud servers is an advantage for security-sensitive content.

According to some estimates, office paper usage has decreased by 20% over the last 20 years. Programs like Paperless-ngx contribute to this trend. It is effectively used in both private and professional spheres, efficiently organizing scanned documents, receipts, digital invoices, and more. It saves time, thereby increasing productivity. Lawyers, accountants, and small business managers are among its users. If you want to bring order to your documents, give Paperless-ngx a try.
