When the beta version of Google Calendar first appeared in 2006, this program was nothing more than a classic calendar with the option to add notes for a specific date. Today, this powerful program is much more than a simple calendar and has become the main tool for time management and scheduling events. Given its simplicity of design, Google Calendar is surprisingly flexible and easy to use, and the connectivity to other Google services makes it even more useful.

Okay, we admit, if you’ve never used Google Calendar, the plethora of options it offers can look intimidating and incomprehensible. However, believe us when we tell you that this is not the case. Google Calendar is a program worth learning, and we’ve created a video tutorial showing you how to do some of the most useful and most used options in it.

In this tutorial, you will learn how to make a reminder, how to schedule an event and how to get a link that you can share with those interested in the event, how to invite someone to an appointment or how to make appointments for meetings where people can apply.

How to create reminders in Google Calendar

  1. To access Google Calendar, type calendar.google.com
  2. HOW TO MAKE A REMINDER
  3. Make sure the Reminders checkbox is checked
  4. Select the date and time for the reminder
  5. Click Reminder
  6. Enter title
  7. Choose if the reminder will repeat. If you do not want it to repeat, leave it as it is.
  8. Click Save. The reminder will notify you by email.

How to schedule an event on Google Calendar

  1. HOW TO SCHEDULE EVENT
  2. Select the date and time of the event
  3. Enter title
  4. Here you can also set the duration of the event
  5. Choose if the event will repeat. If you do not want it to repeat, leave it as it is.
  6. Click Save
  7. For additional settings double click on the saved event
  8. In Add location, enter the location where the event will take place, and in Add description, add description (these fields are optional)
  9. When you schedule an event in your calendar, that calendar should be shared so that others can see when the event will take place. Click on More actions, then on Publish event
  10. Above is the code you can post on your website, and below is a link to the calendar with the event that you can post on social media or wherever people will be able to see it

How to invite someone to an appointment using Google Calendar

  2. The idea is to make appointments and then have people sign up for them. It is not technically possible to invite people to an appointment, but there is an easy workaround.
  3. Select the date and time of the appointment
  4. Set the duration of the appointment
  5. Enter title
  6. Click on Appointment slots, and then on Save
  7. Double click on the appointment
  8. Click on Slots duration and select Single slot
  9. Click Add guest
  10. Select a contact from your gmail account or enter the email address of the person you want to invite to the appointment
  11. Click Save
  12. Click Send, then click Invite external guests
  13. The person you invited to the appointment will receive an email with the details of the appointment and they will be able to confirm if they are coming

How to make appointments that people will be able to sign up for in Google Calendar

  3. Select the date and time you want to have the appointments on
  4. Enter title
  5. Click on Appointment slots
  6. Set the duration. We can have multiple appointments in one term. We have already set the duration for all the appointments together, and here we will set the duration of single appointment.
  7. Click Save
  8. Double click on an appointment
  9. In Add location, enter the location where the appointment will take place, and in Add description, add appointment details (these fields are optional)
  10. Click on This calendar’s appointment page
  11. You need to send a link of this page to anyone who wants to sing up for the appointment. Highlight the link, right-click and click Copy
  12. Click Save
  13. We will now see how this looks like when someone sing up for an appointment and how will that look on your side. Suppose you sent them a link and they clicked on that link.
  14. Here the user can choose when he wants to schedule an appointment
  15. When the user clicks on Save the appointment will be scheduled
  16. The appointment he chose has disappeared from the list. This is so that multiple people would not make an appointment at the same time.
  17. A notification will appear on your calendar that an appointment has been scheduled along with all the necessary information. You will also be notified by email.
